How to check your Email and SMS balance
Before being able to send out any SMS messages within Barkley HQ, you will need to ensure you have sufficient credits.
To check your credit balance:
Step 1: Go to the Marketing tab and select Setup.
Step 2: In Account details, you should be able to see your current Email and SMS Balance. If you need more credits, simply click on the Add Credits button and purchase the package you require.
How to purchase SMS credits
Barkley HQ can send promotional messages, booking reminders and product updates via text messages to your clients. This is a powerful tool for you to achieve business awareness to your existing clients.
Before sending any messages out, you will need to purchase credits. To buy credits:
Step 1: Click the Marketing tab and select Buy Credits.
Step 2: Click Buy Now on the SMS/Email package you wish to purchase.
Step 3: The Credit Card purchase screen will appear. Enter your payment details and click Submit to purchase.
Note: Your credits (SMS and Email) does not have an expiry date/period and will remain in your account until used.
How to search messages
Barkley HQ allows you to send and receive communication from your clients, either via email or SMS. This is a convenient feature to ensure you are always up to date with client needs, such as reminders.
To view your messages list:
Step 1: Go to the Marketing page and select Search Messages.
Step 2: The list of inbound messages will appear. This includes all communications from your clients, eg reminders, marketing campaigns etc.
Step 3: On the left side will have tabs for your messages:
Inbox: This shows all inbound message into Neko. You may reply to the messages by opening the message and selecting Reply.
- Inbox
- Sent
- Pending
- Queued
- Cancelled
- Failed
Hint: If you need to search for a particular message, you may use the 'Search Messages' feature to find your messages.
How to search promotions
Barkley HQ allows you to create your own marketing promotions in house, allowing you the freedom of designing your own campaign to suit your needs.
Along with allowing you to create your own marketing campaigns, Barkley HQ also saves and logs each campaign so you can keep track of how many promotions you have made.
To search your promotions:
Step 1: Go to the Marketing tab and select Search Promotions.
Step 2: The Promotions list will appear. For draft promotions, click on the Draft Promotions tab to view the draft promotions list.
Step 3: To view the promotions, click on the promotion's name or the view icon.
Step 4: The promotion details will appear showing the date range and the message sent. You may also view additional information via the Statistics, Queued Messages and Sent Messages tab.
How to setup an SMS promotion
Barkley HQ can send promotional messages, booking reminders and product updates via text messages to your clients. This is a powerful tool for you to achieve business awareness to your existing clients.
Before setting up your campaign, you need to ensure you have sufficient credits.
To setup your SMS promotion:
Step 1: Go to the Marketing tab and select New SMS.
Step 2: The Promotion Details will appear. Type in the name of the promotion, followed by the content of your SMS. Once done, click Next.
Step 3: In the next view you are able to select and customise the list of clients this promotion will be sent to.
General: This is generally the first point of implementing a selection criteria for a marketing campaign. It contains the most commonly selected criteria, such as visitation time-frame, sales amount, gender etc.
Products: If the general criteria does not meet your needs, you may branch out and use the product tab to set your criteria based on product sales.
Services: If the general or products criteria does not meet your needs, you may branch out and use the services tab to set your criteria based on service sales.
Categories: If the general, service and categories criteria does not meet your needs, you may branch out and use the categories tab to set your criteria based on categories sales.
Lists: This option will allow you to choose 4 options, All clients and new clients in the last 30, 60 and 90 days.
Step 4: Once you set and selected your intended clients, you can confirm it in the Preview List. click "Add Clients to Promotion". A confirmation will appear advising that the clients have been added on the list. Click Next.
Step 5: The list of clients will appear. This will be the final list of clients who is part of your marketing campaign. If you wish to remove selected clients, simply click on the bin icon on the right. If you would like to remove everyone from the list, select Remove All. Once done, click Next.
Step 6: If you wish to send the promotion immediately, select No for Automatically Send Promotion and Yes to Send Now. If you want to send out the promotion automatically, select yes to Automatically Send Promotion and select the date you want the promotion to be sent out. Once you have decided, select Finish.
Note: The SMS will begin sending shortly. Depending on how large your client list is and your internet connection speed, the sending process may take up from 10 minutes to a few hours.
How to setup email booking reminders
Reminders are a powerful tool that your business can use to reduce no-shows, therefore reducing wasted time and revenue in your business.
To setup your email reminder system:
Step 1: Go to the Marketing tab and select Setup Marketing.
Step 2: The Marketing Setup will appear. Click on Reminders on the left to display the Reminders option and select the Email tab.
Step 3: To send out email reminders, select "On" in Send Reminders Emails.
Step 4: In "Send out email reminders" for appointments, the recommend settings is 2 Days Before. You may change it to one of the other available options to suit your business needs.
2 days before: The system will send out reminders for bookings coming up in the next 2 days.
Day of the Booking: The system will send out reminders for today's bookings.
Next 3 Days: The system will send out reminders for bookings coming up in the next 3 days.
Next 4 Days: The system will send out reminders for bookings coming up in the next 4 days.
Next 5 Days: The system will send out reminders for bookings coming up in the next 5 days.
Step 5: Type your message on the Reminder Message field. If you wish, you may personalise your reminders by inserting braces by selecting one from the Insert drop down list.
Step 6: Once you are satisfied with your message settings, click Save.
How to setup Email promotion
Barkley HQ gives you the flexibility to create your email marketing campaign in-house, enabling you to send promotional messages, booking reminders and product updates via email to your clients. This is a powerful tool for you to achieve business awareness to your existing clients.
Before setting up your campaign, you need to ensure you have sufficient credits.
To setup email promotion:
Step 1: Click the Marketing tab and select New Email.
Step 2: The Promotion Details will appear. Type in the Name , Subject and Content of your email. Adjust the Start and End Date of the promotion. Once done, click Next.
Step 3: In the next view you are able to select and customise the list of clients this promotion will be sent to.

How to setup SMS booking reminders
Reminders are a powerful tool that your business can use to reduce no-shows, therefore reducing wasted time and revenue in your business. In Reminders settings, there are multiple options for sending out reminders. Barkley HQ is capable of sending 3 SMS and/or email reminders.
To setup your reminder system:
Step 1: Click the Marketing tab and select Setup Marketing.
Step 2: The Marketing Setup will appear. Click on Reminders on the left to display the Reminders option.
Step 3: To send out reminders, click 1st Message and select Yes to both Send Reminders Automatically and Send Reminders.
Step 4: In Send Out Text Reminders For Appointments, the recommend settings is 2 Days Before.
2 days before: The system will send out reminders for bookings coming up in the next 2 days.
Day of the Booking: The system will send out reminders for today's bookings.
Next 3 Days: The system will send out reminders for bookings coming up in the next 3 days.
Next 4 Days: The system will send out reminders for bookings coming up in the next 4 days.
Next 5 Days: The system will send out reminders for bookings coming up in the next 5 days.
Step 5: Type your message on the Reminder Message field. Please note that 160 characters uses 1 SMS credit. Your message will appear in Example Message, this is an example of how your client will receive the message. If you wish, you may personalise your reminders by inserting braces by selecting one from the insert drop down list.
Step 6: Once you are happy with your reminder message settings, click Save.
